Pricing. A fixed price before any code is written.
Every whatcould.ai project is scoped and priced in writing before work starts, and the price is fixed once it's agreed. We price from the scope and from what the problem costs your business each year, so the build pays for itself. Hosting and AI usage are passed through at cost, and ongoing support is a monthly fee agreed with the build.

How each service is priced.
You get your price after scoping, before any work starts. It depends on what we build, not on how long it takes us.

Where the cost comes from.
Two projects of the same type can cost very different amounts. These are the usual reasons.
Before the build
The first 30-minute chat is free. Scoping is where we map the process and write down exactly what we'll build, what it connects to, the price and the date.
The build itself
- How many tools it connects to
- How many types of user, and what each can see
- How much data moves across from old systems
- AI features like drafting or document extraction
- Compliance and audit-trail requirements
After launch
Defects in what we built are fixed free for 30 days. After that, monitoring, support and improvements are a monthly fee agreed with the build. Hosting, AI usage and services such as SMS are passed through at cost.
Start with what the task costs you now.
Work out what a manual task costs before pricing a build. The first build should aim to save one person about three hours a week.
× one hour a day on one task
= $12,500 a year
Pricing questions.
- Do you charge for the first meeting?
- No. The 30-minute chat is free, and you'll leave knowing whether a build is worth it.
- Do you charge a fixed price or by the hour?
- Builds are a fixed price, agreed in writing after scoping and before any work starts, and paid in milestones. If you add scope during the build, we price the addition before doing it. Consulting is a short engagement priced up front.
- Do your prices include GST?
- We are not registered for GST, so no GST is added to our fees. If that changes, we tell you before it applies.
- What are the ongoing costs?
- Hosting, AI usage and any third-party services are passed through at cost with no markup. Ongoing support and monitoring is a monthly fee agreed with the build. Defects in what we built are fixed free for 30 days after handover.
- Can we start small?
- Yes, and we usually recommend it. Pick the one task that costs your team the most time, fix that, and build on what works. The three-hour rule explains why.
- What if an off-the-shelf tool would do the job?
- Then we'll tell you, and help you set it up if you want. Sometimes the right answer isn't a build at all.
- Who owns what you build?
- You own your data, your configuration and everything the system produces. We keep ownership of the underlying software and give you a perpetual licence to use it in your business. If we ever stop trading, you get the source code so someone else can maintain it. If you want to own the software outright, we can quote that before the build starts.
