AI consulting, starting with where the hours go.
Before you spend on AI, find out where it would actually pay off. whatcould.ai maps where your team's time goes, finds the constraint that costs the most, and gives you a written, prioritised plan, including the places where AI isn't the answer and an off-the-shelf tool or a process change is.
- How we charge
- A short engagement priced up front, fixed fee or hourly
- Good fit for
- Owners and managers who know AI could help but not where to start
- Starts from
- Your existing tools and data, reviewed in place. Nothing needs to be built first
- Your data
- Hosting and third-party processing agreed before the build
- Where
- Based in Melbourne, working with businesses across Australia
Custom, or off the shelf?
A build isn't always the answer. Here is how we decide.
Start with consulting when
- You know the team is stretched but not which task to fix first.
- You've tried AI tools and they haven't stuck.
- You want a plan you can act on, with or without us.
Skip consulting when
- You already know the one task you want fixed.
- You need a quote for a specific build.
- An off-the-shelf tool is obviously the answer.
If you already know what to fix, go straight to a scoped build. The first chat will tell us which.
What you get.
The output is written down, so you can act on it whoever does the work.
Where the hours go
A map of the tasks that take your team's time, and what each one costs.
The constraint
The one bottleneck worth fixing first, and why.
A prioritised plan
What to automate, buy, change or leave alone, in order.
Build or buy
Where an off-the-shelf tool beats a custom build, named plainly.
Data and privacy
What each option means for your data and your obligations.
Your team on board
Recommendations shaped with the people who do the work.
Start with what the task costs you.
Articles that show the approach we take in every consulting engagement.
From first chat to a plan your team uses.
A consulting engagement ends with a plan. A software build is a separate decision.
- 01
Understand the work
Talk with the people doing the job. Map the steps, the tools involved and where time is lost.
- 02
Compare the options
Look at a process change, an existing tool, an integration or a custom build. Check the data requirements and how the team would use each option.
- 03
Agree the next step
You receive a written, prioritised plan. Decide what to act on, what to leave alone and how to judge whether the change works. You can take the plan to another provider.
AI consulting questions.
- How is AI consulting priced?
- As a short engagement priced up front, either a fixed fee or hourly, agreed in writing before it starts. We are not registered for GST, so no GST is added. How we price.
- What do we get at the end?
- A written, prioritised plan: where the hours go, the constraint worth fixing first, and what to automate, buy, change or leave alone.
- Will you just recommend a build?
- No. Less AI is often the right answer, and sometimes the fix isn't AI at all. If a tool you can buy does the job, we'll say so.
- Do we have to use you for the build?
- No. The plan is yours to act on with us, with someone else, or yourselves.
- Where is our data handled?
- Hosting location, access controls and any AI or third-party processing are agreed in your proposal before you sign. If Australian data residency is required, we check the whole workflow against that requirement, including connected services. We do not use client data to train models.
